Privacy Policy
Families trust us with some of the most sensitive information they hold. This policy explains what we collect, why, how we protect it, and the rights you have over it.
1. Who we are
TopCoverHealth is a trading name of Vette Solutions Ltd, a New Zealand company. Kris Vette is our Privacy Officer and can be contacted at kris@topcoverhealth.com.
We comply with the New Zealand Privacy Act 2020 and the Health Information Privacy Code 2020. When we deal with people in Australia, we also comply with the Australian Privacy Act 1988 and the Australian Privacy Principles.
2. What we collect
- Contact details, such as your name, email address and phone number, and your relationship to the family we are assisting.
- The content of any enquiry you send us.
- During an engagement, and with your consent: health information, including medical records, test results, treatment history and family health history.
- Details of advisers and clinicians you ask us to work with.
- Billing and administrative information needed to run an engagement.
Please do not send health information through the website enquiry form. We will arrange a secure way to share it once an engagement begins.
3. How we collect it
We collect information directly from you wherever possible. With your authorisation, we may also collect it from others, such as your treating clinicians, family members, or advisers acting for you. If we collect information about you from someone else, we will tell you, as New Zealand law now requires.
4. Why we use it
- To respond to your enquiry.
- To provide the oversight, coordination and advocacy you have engaged us for.
- To communicate with clinicians and advisers you have authorised.
- To manage billing, administration and our legal obligations.
We do not sell personal information, and we do not use health information for marketing.
5. Who we share it with
We share health information only with your consent, or where the law requires or permits it. This may include specialists and clinicians involved in your care, and people you nominate. We also use trusted service providers, such as email, secure document storage, website hosting and accounting providers, who handle information on our behalf and are required to keep it confidential.
6. Information stored or sent overseas
Some of our service providers store information outside New Zealand and Australia, including in the United States. We take reasonable steps to ensure they protect it to a standard comparable to New Zealand and Australian law. Where we coordinate care with providers overseas, we share information with them only with your consent.
7. Technology and AI tools
We may use secure software, including artificial-intelligence tools, to help organise, summarise and research information for your engagement. We choose tools whose terms do not allow them to use your information to train their models. All judgements and recommendations are made by Kris Vette personally. We do not use computer programs to make decisions about you that could significantly affect your rights or interests.
8. Security and retention
We take reasonable steps to protect information against loss, misuse and unauthorised access. We keep it only for as long as we need it to provide our services and meet our legal obligations, after which we securely destroy or de-identify it. If a privacy breach is likely to cause serious harm, we will notify you and the relevant regulator as the law requires.
9. Our website
Our website is hosted by Webflow. When you use the enquiry form, the details you enter are stored by Webflow and sent to us. The site may use cookies that are essential for it to work. We do not use advertising or analytics trackers.
10. Your rights
You may ask to see the personal information we hold about you and ask us to correct it. Email kris@topcoverhealth.com. We will respond within 20 working days, as New Zealand law requires, and in any case within a reasonable time for Australian residents.
11. Concerns and complaints
Please contact us first, and we will try to resolve your concern promptly. If you are not satisfied, you can complain to the Office of the Privacy Commissioner in New Zealand (privacy.org.nz, 0800 803 909) or, in Australia, the Office of the Australian Information Commissioner (oaic.gov.au, 1300 363 992).
12. Changes to this policy
We may update this policy from time to time. The current version will always be on this page, with the date it was last updated.
